Please read the following information before applying for visa support
Japan implements visa exemption measures for some countries and regions for short-term stays. Please check the following website for visa exemption countries.

For those who need to obtain a VISA to enter Japan
Deadline for requesting support for visa application documents
April 15, 2026 (JST=GMT+9)

*This deadline and visa support documents do not guarantee visa approval.

Applicants must meet all of the following conditions to request our visa documents support:

  • You have submitted an abstract
  • Your abstract has been accepted
  • You have submitted the final manuscript of the accepted abstract
  • You have completed the online registration
  • Your registration fee have has paid

< Accompanying Person >

  • You are registrant's family
  • The registrant meets all of the conditions above
  • You have applied for the banquet and completed the payment

*Participants who register as an accompanying person for a participant who meets the above requirements are also eligible for VISA document support.

*The IPEC2026 may decide whether or not to provide a personal guarantee for the visa documents.

The following documents will be issued to the applicants who have met all of the above conditions:

  1. Invitation latter
  2. Letter of guarantee
  3. Letter of reason for invitation
  4. Schedule of stay
  5. Certificate of employment of the inviter

Note

Since obtaining a visa may take some time, we recommend that you first contact the Japanese Embassy/Consulate General where you live.
Please ask the officer there for the detailed procedure and what documents you will need (you may need to make an appointment).
(In addition to the documents prepared by the inviting person/guarantor in Japan, you may be required to present some additional documents. However, as it depends on the local decision, please check with the Embassy/Consulate General).
Please note that the documents that we prepare for your visa application do not guarantee that you will be granted a visa to enter Japan.

Application to the Japanese Embassy or Consulate General of Japan should be made at your own responsibility. Fees to be paid to the Japanese Embassy or Consulate for visa application and issuance, transportation and communication expenses are the responsibility of the applicant. IPEC2026 will not be responsible for this or any cancellation of travel expenses including air tickets, hotel reservations, etc. caused by not being able to obtain a visa.

If you fly to Japan via another country, please confirm in advance whether you need a transit visa, as this will also be your responsibility.

How to apply

In order to prepare the visa support documents, we need the following information first.
After you prepare the information, click the "VISA Document Support" button below and enter the information (please also upload a copy of your passport).

  1. Copy of your passport* (photo page/ in JPG or PNG)
    *If your passport will have less than 6 months left when you arrive in Japan in End of May 2026, we recommend that you obtain a new passport before contacting us or applying for a visa.
    If you are concerned, please contact your local Japanese embassy or consulate first.
  2. Embassy or Consulate General where you will apply your visa.
    - Japanese Embassy/Consulate nearest your residence
  3. Flight information (Date/Flight number):
    - Arrival in Japan
    - Departure from Japan
  4. Where to stay in Japan:
    - Name of hotel/accommodation -Check-in/Check-out date

Visa support applications will be available from mid-March.
